Supplier evaluations is a critical step in the competitive bid process.
This is how you will score and scrutinize the supplier's solutions. It is best practice to set up the evaluation matrix (how you will evaluate and score responses) in advance of your RFx closing date. This ensures that the evaluation matrix is set up in an unbiased manner.
It is also key to have all stakeholders review and approve the evaluation matrix to ensure everyone's in alignment with how the responses will be scored.
It is also critical to have the appropriate subject matter experts evaluate sections of the RFx that pertain to their area of expertise. For instance, do not ask your Finance team to evaluate the IT requirements.
Evaluations can take place individually or as a group, but it is recommended that once all scoring has taken place that the entire team comes together for one final review, to ensure everyone agrees to the scoring and are in alignment for shortlisting and moving to the next stage.
